Vendor Terms & Conditions

  • Confirmation: Vendors are not confirmed until full payment is made. Payment is due within 30 days of the invoice.

  • Cancellation: Cancellation 60 or more days before the event will result in a $200 cancellation fee unless festival can fill the spot. All cancellations made less than 60 days before the event are non-refundable.

  • Collection of Taxes: Vendors are responsible for collecting and remitting all applicable sales taxes following state and local regulations.

  • Booth Placement: Vendors will receive exact booth assignments in the pre-arrival vendor kit, which are subject to change. Booth placement is determined at the discretion of the festival organizers based on previous sales success, history with the festival, special setup and electrical requirements, and marketability of products.

  • Weather: Weather can change quickly, and this is a rain-or-shine event. No refunds will be made due to weather conditions.

  • Hours: Exhibitor booths must be open and staffed during all vendor hours provided by the festival.

  • Vendor Selection: The selection process is on a rolling basis, with confirmation of all applications made no later than May 15th. Factors considered include uniqueness, history of vending at the festival, booth placement requests, and more.

  • Security: Exhibitors are responsible for securing exhibits and merchandise at night. There will be overnight security in the vendor areas, however, exhibitors are responsible for securing exhibits and merchandise at night and tent walls are strongly recommended. Love Shine Play is not responsible for lost or stolen inventory and/or personal items.

  • Vendor Tent Requirements: All tents must be the exact size designated by the festival during placement selection. Vendors must provide their tents with weights (stakes are not allowed). Tents & other items can be rented through Classic Events, the festival is not responsible if items from Classic Events do not arrive or are incorrect.

  • Food Vendors: Food vendors must use mats or other protective devices to prevent grease drippings. All grease must be properly disposed of in designated containers. Generators are not permitted and adequate electric plugs must be provided by the food vendor.

  • Vehicle Restrictions: No vehicles of any kind may be driven into the festival grounds unless authorized by event staff.

  • Processing Credit Cards: It is recommended that vendors have data on their phones or tablets for processing credit card transactions.

  • Indemnification: Exhibitor agrees to indemnify and hold harmless Love Shine Play Festival, LLC, its parents, subsidiaries, partners, sponsors, agents, employees, and assigns from any and all claims, causes of action, suits, damages, theft, injuries, and losses arising out of or relating to the festival.

  • Force Majeure: The festival shall not be liable for any failure or delay in performance due to causes beyond its reasonable control, including but not limited to weather, acts of God, fire, flood, terrorism, strikes, or supplier failures.

  • Taxes & Permits: Vendors are solely responsible for any sales, use, or other taxes, fees, permits, and surcharges required by federal, state, county, or municipal authorities.

  • Product Approval: The festival reserves the right to deny the sale of items not listed on the application.

  • Photography & Media: Exhibitors permit photographs and video recordings of their booths, employees, and agents. All photography and video footage shall be the sole property of Love Shine Play Festival and may be used in any manner or media without obligation to the exhibitor.

  • Termination: Prior to the event, any agreement between the festival and a vendor may be canceled by the festival with or without cause upon three days' prior written notice at no cost to the festival.

  • Vendor Liability: Vendors are responsible for any and all damages, injuries, claims, charges, and costs related to their participation. The festival is not liable for damage or theft of vendor materials or equipment unless agreed to in writing, and only in cases of negligence or misconduct by the festival.
